How Quorum Planner handles data

Quorum Planner is operated by Texas Active Enterprise LLC (“TAE”, “we”) for community association management companies (“customers”) and the managers and leaders they authorize. This disclosure describes what the service holds, why, where it lives, and how to reach us. It is a description of practice, not legal advice.

What the service holds

• Account identity. The name and work email of each authorized user, and sign-in events, handled by our authentication provider.
• Association records. Association-level facts entered by the customer: legal name, address, region, manager of record, board members and their offices and terms, candidates, meeting dates and formats, notice periods, management start date, lifecycle status, and an optional community logo.
• Generated documents. The Word and PDF files produced from those records, held for the retention window in the customer agreement.
• Activity ledger. Which user generated or attested which document, when, and which template version was used.
• Intake files. Documents a manager uploads to build from, such as a prior agenda or a financial statement summary, held only as long as needed to produce the document.

What the service never holds

Homeowner ledgers, account balances, delinquency or collection detail, banking data or credentials, owner contact rosters, or anything replicated from the customer’s accounting system of record. The service has no scheduled feed from, and sends nothing to, the customer’s other systems. Executive session content is never sent to any model provider; the service does not use a model provider.

How it is used

Only to operate the service for the customer: to produce documents, keep the ledger, compute notice deadlines, and show leadership what was produced. We do not sell data, use it for advertising, or use it to train models. Support staff at TAE access customer data only to resolve a reported issue or as the agreement provides.

Where it lives

The service runs in the United States on infrastructure from these providers, each acting on our instructions:

• Vercel, Inc. — application hosting and private file storage for generated documents and uploads.
• Turso — the hosted database holding association records and the ledger.
• Clerk, Inc. — user authentication and sign-in email delivery.

Data is encrypted in transit and at rest by those providers. Access inside the service is by named account, scoped by role: a manager sees their own portfolio and work; leadership sees the customer’s whole portfolio.

Cookies

The service sets the cookies needed to keep a user signed in. The public pages of this site set no analytics or advertising cookies.

Retention and exit

Association records and the ledger are kept for the term of the customer agreement. Generated documents are kept for the retention window in that agreement. On exit, the customer’s records and documents are returned in the formats the service already exports, and then deleted from the service and its providers within the window the agreement states.

Access, correction, and questions

Users see and correct their own association records inside the service. Requests to access, correct, or delete data held about a person, and any question about this disclosure, go to info@tx-ae.com or by post to the address above. We answer within thirty days.

Changes

When this disclosure changes, the effective date above changes with it and customers are notified through their account contact.
